The Mivi assistant. How it works and what it sees.

1. What Mivi is

Mivi is an assistant in the Consilaris Application that runs on an artificial intelligence service. Answers and summaries are prepared by an artificial intelligence system, not by a person. The assistant prepares summaries of data from the Application and answers questions about that data.

This information is provided by MIVARE GROUP PROSTA SPÓŁKA AKCYJNA, with its registered office in Krasnobród, KRS 0001268091, NIP 9223092251, REGON 545767254, operating under the Consilaris brand, hereinafter “Mivare”. It is for information only; the binding documents are the Consilaris Terms of Service (CNS-LEG-001), the Data Processing Agreement (CNS-LEG-003, hereinafter the “DPA”) and the Payment Terms (CNS-LEG-004).

2. Switching on and off

• The assistant is switched off by default.
• First, the administrator of the law firm account switches it on for the whole law firm account; this is consent to its provider taking part as a sub-processor under the DPA.
• Each user then switches it on or off for their own account.
• Switching it off, by the administrator or by the user, immediately stops the transfer of data to the provider.

Before switching the assistant on, the law firm assesses whether transferring data to its provider is consistent with its professional secrecy obligations and may decide in its internal rules which users use it.

3. What data the assistant receives

The assistant sees only data to which you have access in the Application. To prepare a summary or an answer, the Application sends: event log entries and extracts of records to which you have access in the Application, and the content of your questions.

We do not send passwords, authentication data, payment card data, PESEL numbers or identity document numbers.

4. The artificial intelligence provider

Requests are handled by Mistral AI SAS (France, Paris) as Mivare's sub-processor. The data is processed and stored in the European Union and is not transferred outside the European Economic Area. The provider does not use it to train models; it keeps requests and responses for no more than 30 days solely to detect abuse and then deletes them.

5. Conversation history

In the Mivi+ module we keep the history of your conversations with the assistant in the Application for 90 days, unless you delete it earlier.

6. Limitations

• Answers, summaries and drafts are auxiliary, may be incomplete or inaccurate and do not replace the source data.
• Before making a decision or using a draft, you check it against the data in the Application.
• The assistant uses only data in the Application to which you have access; it does not know data from outside the Application.

7. Usage limits

Use of the assistant is subject to usage limits set by Mivare for the law firm account in proportion to the subscription fee, in particular as regards the number and length of requests in a given time. The Application informs you when the limit is approaching, and once it is used up the assistant resumes in the next limit period. The Mivi+ module has higher limits.

8. The Mivi+ module

Mivi+ is a paid extension of the assistant: it prepares drafts of letters, offers and reports, produces analyses covering all modules of the Application and holds conversations with a long memory of their history. It costs PLN 149 net per calendar month for the whole law firm account, regardless of the number of users, and is billed in the same cycle as the subscription. During the trial period it is available free of charge. The account administrator switches it on in the Licence tab. Fees are set out in the Payment Terms.
