Interest registration. Rules and data protection.

1. What an interest registration is

An interest registration is a free sign-up by a law firm that wants to use Consilaris once the service launches. Consilaris is intended for advocates' and legal advisers' law firms operating in Poland. The registration is not a contract, does not create an account, does not give access to the Application and does not bind either the person registering or Mivare. We plan to launch the service in November 2026.

Registration takes place on the Consilaris Application website. This document sets out the rules of registration and contains information on the processing of the personal data given when registering. The service is provided by MIVARE GROUP PROSTA SPÓŁKA AKCYJNA, with its registered office in Krasnobród, KRS 0001268091, NIP 9223092251, REGON 545767254, operating under the Consilaris brand, hereinafter “Mivare”.

2. Price and terms after launch

Prices shown on the Consilaris website are for information only. They are not an offer or a commitment of either party. A contract is concluded only after the launch, when creating an account, under the Consilaris Terms of Service and the Consilaris Payment Terms in force on the date of conclusion, at the prices applicable on that date.

From the date the contract is concluded, a 90-day trial period applies, with the full range of features, free of charge and without providing a payment card. The trial period does not turn into a paid subscription automatically.

3. Who can register

Only an advocates' or legal advisers' law firm operating in Poland can be registered. Registration is made by a person acting on behalf of the law firm, who gives its tax identification number (NIP). One NIP can have one registration; a law firm in which several people work registers once.

4. How registration works

• The person registering gives the law firm's name, their first name and surname, email address, country (Poland) and the law firm's NIP. We check the NIP only for correct format.
• The person registering accepts this document and the Consilaris Privacy Policy.
• We send a code to the email address given, with a link to the confirmation page. The person registering enters the code on that page within 48 hours, which confirms the address and completes the registration.
• After confirmation, we send a message confirming that the registration has been accepted.

Registration does not create an account and does not require a password. We send messages in the language in which the form was filled in.

5. Verification of the law firm after launch

We do not verify the law firm at registration. After the launch, we send an invitation to create an account to the confirmed email address. Only when the account is created does the advocate or legal adviser give the number of their entry on the list of the relevant bar, and Mivare verifies the law firm manually, under the Consilaris Terms of Service.

6. Messages after registration

Apart from the code and the confirmation of registration, we send one message on the day the service launches, inviting the law firm to create an account. We do not send marketing messages or any other messages. Registration is not consent to marketing messages.

7. Controller and purposes of processing

The controller of the data given when registering is Mivare. Contact on data matters: biuro@consilaris.pl. No data protection officer has been appointed.

• Handling the registration, confirming the email address, confirming acceptance of the registration and the message on launch day: steps taken at the request of the person registering before entering into a contract (Article 6(1)(b) GDPR) and Mivare's legitimate interest in preparing the launch of the service (Article 6(1)(f) GDPR).
• Recording acceptance of documents, protection against abuse and defence against claims: Mivare's legitimate interest (Article 6(1)(f) GDPR).

We process: the law firm's name, the registering person's first name and surname, email address, country and the law firm's NIP; the language of registration; the record of acceptance of documents with their versions, date and IP address. Giving this data is voluntary, but without it we cannot accept the registration. We do not profile people who register.

Registrations made before 2 November 2026 under version 1.0 of this document may also contain the bar entry number, phone number, chosen verification method, registration account data, the law firm's data from the REGON register and consent to information about Consilaris. We process that data under the rules and for the purposes for which it was collected, and we do not collect it for new registrations.

8. Recipients and place of processing

We keep registration data in the Application database on a server in the European Union (Contabo GmbH, Germany), separately from customer data. We send emails through our email provider (OVH). Both providers process the data on behalf of Mivare. We do not transfer the data outside the European Economic Area and we do not sell it.

9. How long we keep the data

• An unconfirmed registration is deleted automatically when the code expires, that is after 48 hours.
• A confirmed registration is deleted automatically 90 days after the message on launch day is sent.
• On request we delete the registration earlier, promptly after receiving the request.

Once the law firm concludes a contract, further rules are set out in the Consilaris Terms of Service and the Consilaris Privacy Policy.

10. Rights and withdrawal

The person registering has the right of access to the data, rectification, erasure, restriction of processing, portability and to object to processing based on legitimate interest. The registration can be withdrawn at any time by a message to biuro@consilaris.pl.

The person registering may lodge a complaint with the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw, Poland).

This document is available in Polish and English; in the event of any discrepancy, the Polish version prevails.
